This Privacy Notice serves as notice to you of the current Privacy Policy of The Shasteen-Sizemore Co. (Shasteen-Sizemore).  Real estate licensees, like many other professionals, may be required to inform their clients of their policies regarding privacy of client information. At Shasteen-Sizemore, we are fully dedicated to protecting the privacy of your information. If you are our client, you should know that all personal information we receive from you is held in confidence and is not released to people outside the company, except as agreed to by you or as required by applicable law. We retain records relating to the professional services we provide so we are better able to assist you with your real estate brokerage needs and in some cases to comply with professional guidelines. To protect your personal information that is contained in our records, we employ physical, electronic, and procedural safeguards that comply with our professional standards. This Privacy Notice explains in greater detail our practices with regard to maintaining the privacy of your personal information.

INFORMATION THAT WE COLLECT

Personally Identifiable Information.  The term “personally identifiable information” (PII) is defined differently in state and federal laws but generally includes such information about you as name, address, telephone number, fax number, email address and other identifiers which can be used to identify you as a particular person.  We do not collect PII about you unless you choose to fill out the 'Contact Us' form online on our website, ShasteenSizemore.com, or otherwise contact us and provide us with such information. We may also collect your PII in person, over the phone, by email or through forms, applications or questionnaires (electronic or otherwise) that you submit to us.

We may automatically collect certain non-PII data when you visit our website, such as the type of browser or operating system you are using and the domain name of your Internet service provider. We may also collect anonymous demographic information, which is not unique to you and is not associated with your PII, such as your ZIP code, age, gender, preferences, interests and favorites.

Other Information.  In addition to PII, during the course of our work for you, we may receive from you certain non-public information about you other than PII that is related to your real estate matter (Other Information).  Such Other Information could include, for example, facts surrounding a real estate matter, opinions, strategies, plans, policies, financial information, intellectual property, trade secrets, non-public company information, information about you or an affiliate and other confidential or sensitive information.  In this Privacy Notice the term “personal Information” includes both PII and Other Information.

HOW WE USE INFORMATION THAT WE COLLECT

We may use PII that we collect or receive from you to contact or communicate with you, as required or necessary during the course of our work for you and for operating purposes. We may share your personal information with third parties, such as lenders, attorneys, accounting firms, property inspectors, appraisers, surveyors, engineers, contractors or other consulting firms and experts, as necessary or desirable to pursue your matter. However, we will not do so without advance notice to you and without your express consent. It is possible that contractors we use, such as managed technical services providers who provide internet access, website hosting, email hosting and data storage services, couriers, copier leasing and service companies and telephone services might also have access to your personal information in the course of performing work for our firm.  In selecting contractors, our firm seeks to engage those who have in place reasonable privacy and security policies and practices and who provide reasonable assurances of confidentiality and privacy of personal information.  However, because the operations of our contractors are not within our control, we cannot guaranty that our contractors implement their own policies and practices.  For example, we currently utilize SquareSpace in connection with our website.  You can learn about their privacy policy, their cookie and tag policies and their other practices at www.SquareSpace.com.

It is also possible that we might be forced to disclose personal information in response to legal process or when we believe in good faith that the law requires it, for example, in response to a court order, subpoena or a law enforcement agency's request. Otherwise, we will not sell your personal information to or share it with a third party, except as otherwise described in this Privacy Notice.

Our website utilizes cookies which may collect information about your browser, operating system, etc. A cookie is a text-only string of information that is transferred by a website to a cookie file in the browser on your computer's hard disk so that the website can remember who you are. A cookie typically contains the name of the domain from which the cookie came, the "lifetime" of the cookie, and a value which is usually a randomly generated unique number. Information collected through the use of cookies is used for the operation of the web service, to maintain quality of the service, and to provide general statistics regarding use of the Shasteen-Sizemore web site.

You have the ability to accept or decline cookies by modifying the settings in your browser. However, disabling cookies may prevent full utilization of all the interactive features of our site.  

RECORD STORAGE AND RETENTION

We retain records relating to professional services that we provide so that we are better able to assist you with your professional needs and to comply with governing law. In most cases that means we will maintain the records for five (5) years before destroying through shredding or other secure means.  

We maintain physical, electronic and procedural safeguards while in possession of your personal information to comply with legal and industry professional standards. However, we cannot fully guarantee the privacy of personal information you transmit over the web or that may be collectable in transit (or otherwise) by others, including contractors who provide services to us.

PRIVACY AND SECURITY SAFEGUARDS

Keeping your personal information confidential and secure is important to us. As mentioned, we maintain physical, electronic, and procedural safeguards to guard your personal information. We will, therefore, restrict access to your personal information to those employees or third party contractors who need to know that information to provide services to you. Third party contractors, such as technology firms, may be legally and contractually bound to maintain the privacy of any information shared with them. Upon completion or termination of our representation, we will continue to protect the confidentiality and security of your personal information in our possession in accordance with this Privacy Notice for as long as we retain that information.

RIGHT TO ACCESS INFORMATION

If you would like access to records containing your personal information, simply forward a written request utilizing any of the contact information on this website. We will advise you in advance if a minimal charge will be required for searching and retrieving those records. We will respond to your written request within 30 days. We will not, however, be able to provide information from our records about you if those records contain references to other persons, are subject to legal privilege, contain confidential information proprietary to Shasteen-Sizemore or cannot be disclosed for other legal reasons.

If a request is denied, we will notify you in writing of the denial and the reasons for the denial and provide you an opportunity to submit to us in writing any reasons why you believe such denial was improper.

UPDATING INFORMATION AND OPTING-OUT

We make reasonable efforts to keep your PII accurate and up-to-date in our records. To do so, we periodically require your assistance and input. Please keep us informed of any changes in your PII, such as a change of name, address, or telephone number. If there are any errors in our records concerning any of your personal information, please notify us and we will correct and update your information as warranted.

Upon request, we will remove your PII from our database, correct PII that you state is erroneous, or permit you to "opt out" of further email contact or services that we provide, such as a monthly newsletter.

CHANGES TO PRIVACY POLICY

Shasteen-Sizemore may revise and update its Privacy Policy at any time.  When revisions are made, we will post a revised Privacy Notice in place of the current Privacy Notice. The revised Privacy Notice will outline the changes made to the prior version.  Continued use of Shasteen-Sizemore.com means that you accept those changes.
